Job Description
STRATEGIC
- Support the Project Manager in delivering projects safely, on schedule, within budget, and in compliance with contractual requirements.
- Ensure project activities are executed in accordance with contract conditions, company procedures, client requirements, and applicable utility standards.
- Protect the company's contractual and commercial interests through effective contract administration and documentation management.
- Support successful project execution through proactive stakeholder coordination and issue resolution.
- Contribute to project risk management by identifying contractual, commercial, procurement, and execution-related risks.
- Maintain accurate project records to support contractual claims, variation orders, and commercial recoveries.
OPERATIONAL
- Coordinate day-to-day project activities and ensure timely completion of assigned tasks in accordance with project schedules, contractual requirements, and organizational objectives.
- Support project planning, execution, monitoring, control, reporting, mobilization, and close-out activities throughout the project lifecycle.
- Maintain project documentation including action trackers, deliverable registers, risk registers, stakeholder registers, contract registers, correspondence logs, claims registers, variation registers, and other project records.
- Monitor project progress and coordinate with engineering, procurement, logistics, finance, QA/QC, document control, site teams, clients, consultants, OEMs, suppliers, subcontractors, utility authorities, and other stakeholders to ensure timely execution of project activities.
- Follow up on project deliverables, approvals, inspections, client comments, action items, and stakeholder commitments to ensure compliance with project milestones and schedules.
- Prepare project progress reports, dashboards, management updates, presentations, meeting agendas, minutes of meetings, action trackers, and weekly/monthly reports covering project progress, contractual compliance, procurement status, FAT status, variations and claims status, commercial issues, and project risks.
- Administer project contracts during the contract execution period and ensure compliance with contractual obligations, milestones, deliverables, notices, reporting requirements, and other contract provisions.
- Draft, review, and submit contractual correspondence including notices, letters, clarifications, RFIs, extension of time (EOT) notifications, claims submissions, and commercial communications.
- Monitor contractual risks, obligations, entitlements, and potential commercial impacts and proactively highlight issues requiring management attention.
- Support the interpretation, implementation, and administration of contractual provisions throughout project execution.
- Maintain complete contractual records and supporting documentation for claims, variation orders, contractual correspondence, and commercial negotiations.
- Prepare, substantiate, submit, and track Variation Orders (VOs) with supporting technical and commercial documentation.
- Draft, manage, and monitor contractual claims related to scope changes, delays, disruptions, prolongation costs, additional works, and other contractual entitlements.
- Coordinate with engineering, planning, procurement, commercial, and site teams to gather supporting evidence, records, and documentation required for claims and variation submissions.
- Review subcontractor and supplier claims, assess contractual entitlement, and support negotiations and closure with clients, consultants, suppliers, and subcontractors.
- Coordinate pre-FAT and post-FAT activities with OEMs, suppliers, consultants, clients, and project teams, including preparation of FAT documentation packages, schedules, agendas, inspection requests, reports, and stakeholder communications.
- Ensure availability of approved drawings, specifications, datasheets, procedures, and test plans prior to FAT execution and monitor closure of FAT punch points and observations.
- Coordinate FAT attendance, logistics, equipment release approvals, shipment readiness, and maintenance of FAT records.
- Prepare project initiation documents including Project Execution Plans, Cash Flow Forecasts, Project Information Sheets, Risk Registers, Stakeholder Registers, and Deliverable Schedules.
- Coordinate issuance of Advance Bank Guarantees (ABG), Performance Bank Guarantees (PBG), Retention Guarantees, and related project securities, while liaising with finance departments, banks, and insurance functions.
- Coordinate procurement activities related to project materials, manufacturing progress, delivery schedules, FAT schedules, documentation requirements, and commercial or contractual matters.
- Facilitate metal booking activities for Copper Earthing Materials, Power Cables, Control Cables, and Conductors, monitor booked metal rates, and support purchase order amendments resulting from metal price fluctuations.
- Assist project teams during client meetings, progress reviews, technical discussions, commercial discussions, and stakeholder coordination activities.
- Coordinate contractual and commercial close-out activities, including preparation of final account documentation, close-out submissions, retention releases, warranties, guarantees, and completion of outstanding contractual obligations.
- Facilitate preparation and submission of as-built documentation, operation and maintenance manuals, warranties, handover packages, completion certificates, taking-over certificates, final approvals, and payment milestones.
- Ensure proper closure of all contractual, commercial, technical, documentation, and handover requirements prior to project completion.
- Maintain accurate project, contractual, commercial, and technical records and ensure compliance with document control procedures, project filing systems, corporate governance requirements, and quality standards.
PEOPLE MANAGEMENT
- Coordinate and collaborate with project team members to ensure successful execution of assigned tasks.
- Support junior engineers, coordinators, and project support personnel when required.
- Promote teamwork, communication, accountability, and compliance with project procedures.
- Foster effective working relationships across departments and project stakeholders.
PRODUCT/PROCESS IMPROVEMENT
- Identify opportunities to improve project administration, contract management, and reporting processes.
- Support implementation of digital project management and document control systems.
- Develop and maintain standardized templates for contractual correspondence, claims, variation orders, FAT documentation, and project reporting.
- Contribute to lessons learned and continuous improvement initiatives.
- Support process optimization to improve project efficiency and contractual compliance.
ELIGIBILITY CRITERIA
- Bachelor’s degree in electrical engineering, mechanical engineering, civil engineering, construction management, project management, or a related discipline.
- Minimum 5–8 years of experience in project engineering, project coordination, contract administration, project controls, or commercial project support.
- Experience in EPC projects related to substations, transmission, distribution, power, utilities, or infrastructure.
- UAE utility project experience is preferred.
- Experience with DEWA is an advantage.
- Proven experience in contractual correspondence, claims preparation, variation order management, FAT coordination, procurement support, and project close-out activities.
- PMP Certification & Primavera P6 Training.
- FIDIC Contracts Training & Contract Management Certification.
- SAP/ERP Training & Microsoft Project Training.
